Privacy Policy

How we collect, use, and protect your information.

1. Introduction

Tech Phoundation (“we”, “us”, “our”) respects your privacy and is committed to protecting the personal information of visitors to our website and our clients. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

This Policy applies to our website and to personal information collected in the course of providing networking, cybersecurity, and infrastructure services.

2. Information We Collect

Information You Provide to Us

  • Contact details submitted through our website contact or quote request forms (name, email address, phone number, company/organization name)
  • Any project details, site information, or requirements you share with us during a consultation or proposal process
  • Information provided when you engage us as a client, consistent with the Employee, Contractor, Confidentiality, IP & Technology Agreement's data protection obligations to our own clients
  • Questions you ask our website help desk chat assistant (Vicky); if Vicky doesn't have a built-in answer, the question text may be sent to a third-party AI provider (Anthropic, the maker of Claude) to generate a response, or emailed to our team so we can improve her knowledge base. No other personal information is collected through the chat unless you choose to share it

Information Collected Automatically

  • Standard technical information such as IP address, browser type, device type, and pages visited, collected through our website and any analytics tools we use
  • Cookies and similar technologies, as described in Section 8

3. How We Use Your Information

We use the information we collect to:

  • Respond to inquiries and prepare quotations or proposals
  • Deliver, manage, and support projects and service agreements
  • Improve our website and marketing based on aggregate, non-identifying trends
  • Comply with legal and regulatory obligations, including those under the Cyber and Data Protection Act [Chapter 12:07]

We do not use personal information collected through our website for purposes unrelated to those listed above without your consent.

4. Legal Basis for Processing

We process personal information on the basis of: your consent when you submit a form or contact us directly; the necessity of processing to perform a contract with you as a client; and our legitimate business interest in responding to inquiries and operating our website, balanced against your privacy rights.

5. Sharing Your Information

We do not sell personal information. We may share information with:

  • Service providers who support our website, email, or business operations (e.g., hosting providers, email platforms), under confidentiality obligations
  • Professional advisors (legal, accounting) where necessary
  • Authorities where required by law or a valid legal process

6. Data Retention

We retain personal information only for as long as necessary to fulfill the purposes described in this Policy, to meet our contractual and legal obligations to clients, or as required by applicable law, after which it is securely deleted or anonymized.

7. Data Security

We apply the same security-first principles described in our internal Cybersecurity Standards to the personal information we hold, including access controls, secure storage, and staff confidentiality obligations under our internal Employee, Contractor, Confidentiality, IP & Technology Agreement.

8. Cookies & Analytics

Our website may use cookies or similar technologies to remember preferences and understand how visitors use our site. You can control or disable cookies through your browser settings; some website features may not function properly if cookies are disabled. See our Cookie Policy for details on what cookies we currently use.

9. Voice Input (Microphone)

Our website's help desk chat includes an optional microphone button for asking questions by voice instead of typing. If you choose to use it, your browser will ask you to grant microphone permission; you can decline, revoke, or manage this permission at any time in your browser settings without affecting any other part of the site.

Voice-to-text conversion is performed entirely by your browser's built-in speech recognition feature (provided by your browser vendor, such as Google or Apple), not by Tech Phoundation. We do not record, store, or receive the audio itself, only the resulting text appears in the chat input box for you to review and edit before it is sent.

10. Your Rights

Subject to applicable law, you may have the right to request access to, correction of, or deletion of your personal information, and to object to or restrict certain processing. To exercise these rights, contact us using the details in Section 13.

11. Children's Privacy

Our website and services are directed at businesses, institutions, and adult individuals. We do not knowingly collect personal information from children.

12. Changes to This Policy

We may update this Privacy Policy from time to time. The “Effective Date” on the cover of this document will be updated accordingly, and material changes will be reflected on our website.
